The Process respects your privacy. This Privacy Policy explains how The Process handles information when you use the “The Process” mobile application and any related widget or app extension features.

If you do not agree with this Privacy Policy, please do not use The Process.

Who We Are

The Process is a productivity and personal knowledge application made by Jamsoft Inc that helps users manage notes, tasks, meetings, memories, credentials, and related workspace content.

Scope of This Policy

This Privacy Policy applies to information processed through The Process, including the iOS app and widget-related functionality.

This Privacy Policy does not govern third-party services, websites, apps, or platforms that may be linked to or accessed through The Process, including Apple, Firebase, Google, or any app or service you choose to use through the iOS share sheet or other system integrations.

Information We Process

Depending on how you use The Process, we may process the following categories of information:

Workspace content. This includes notes, drawings, memories, focus items, tasks, projects, habits, meetings, transcripts, action items, highlights, saved searches, assistant messages, people records, business cards, certificates, and related metadata.

Imported and scanned content. This includes text and content you choose to import from files such as PDFs, text documents, transcript files, and content recognized from scanned images or documents.

Device integration data. If you grant permission, The Process may process information from Apple system services such as Calendar, Reminders, HealthKit, location reminders, microphone input, speech recognition results, notifications, Wallet-related exports, and NFC-related actions.

Purchase and subscription information. If you purchase a subscription, The Process may process App Store product, entitlement, and transaction-verification information made available through Apple’s in-app purchase system.

Technical and service metadata. The Process may process limited technical data needed to operate certain features, including optional Firebase-backed AI features.

The Process does not require account registration in the current app implementation reviewed for this policy.

How We Use Information

We use information to operate, maintain, and improve The Process, including to:

Store, organize, search, and display workspace content.

Generate note previews, widget snapshots, Spotlight entries, Handoff activities, and App Intent actions.

Support reminders, notifications, meeting preparation alerts, and credential-renewal alerts.

Read optional calendar, reminders, health, and location information that you authorize so The Process can provide contextual productivity features.

Capture, transcribe, and save meetings and voice notes.

Export, share, or back up content when you choose to do so.

Determine subscription entitlements and enforce feature access limits.

Generate assistant responses using either Apple on-device language-model features or paid Gemini-powered features, depending on device support and subscription status.

Local Storage and iCloud Sync

The Process is designed as a local-first application. By default, workspace data is stored on your device.

If you enable iCloud Sync, The Process may use your private CloudKit database to sync workspace data across your Apple devices. If CloudKit is unavailable, the app may fall back to local storage.

The Process may also store a limited widget snapshot in an Apple app group container so the widget extension can display relevant workspace summaries.

AI Features

The Process may offer two types of assistant functionality:

On-device assistant features. On supported devices, free-tier assistant experiences may use Apple’s on-device language-model runtime.

Paid Gemini-powered assistant features. Paid AI features may use Firebase App Check, Firebase Remote Config, and Firebase AI Logic with the Google AI backend.

If you use paid AI features, The Process may send information necessary to generate a response, including your prompt, recent assistant conversation history, and selected workspace context such as notes, memories, tasks, people, meeting summaries, action items, certificates, and business-card details. If enabled and available for your subscription tier, relevant health summary information or location-tagged task context may also be included.

The current The Process app implementation reviewed for this policy does not include Firebase Analytics or Crashlytics SDK usage.

Firebase-powered AI features and related configuration services may process limited service metadata needed to operate those features, such as app identifiers, language, time zone, operating-system version, SDK version, bundle ID, and model-selection details.

Apple Permissions and System Features

The Process requests access only for features you choose to use. Depending on your choices and device capabilities, The Process may request permission to access:

Calendar and Reminders, to display and create scheduling and task information.

HealthKit, to read selected summary health metrics.

Location services, to support arrival-based reminders.

Camera and document-scanning features, to scan and process documents.

Microphone and speech recognition, to record and transcribe audio.

Biometric authentication, to support Face ID or Touch ID workspace lock.

Notifications, to schedule local alerts and reminders.

Spotlight, widgets, App Intents, and Handoff, to support search, continuity, and shortcut experiences.

Wallet and NFC-related features, to export pass-related files or write contact-card information to an NFC tag.

When on-device speech recognition is available, The Process requests on-device transcription. If on-device recognition is unavailable, Apple speech services may process audio as needed to return transcription results.

Sharing and Disclosure

We do not sell personal information and The Process is not designed to track users across third-party apps or websites for targeted advertising.

We may disclose information in the following circumstances:

To Apple, when you use Apple platform services such as CloudKit, in-app purchases, speech recognition, geocoding, Calendar, Reminders, HealthKit, Spotlight, widgets, Handoff, or other system features.

To Firebase and Google, when you use paid Gemini-powered assistant features or when The Process retrieves Gemini model configuration through Firebase Remote Config.

To third parties you choose, when you initiate exports, sharing, backups, vCard sharing, NFC writing, Wallet-related exports, or iOS share-sheet actions.

To comply with law, regulation, legal process, or enforceable governmental request.

To protect rights, safety, security, users, or the integrity of The Process.

Exports, Backups, and Temporary Files

When you export content, The Process may generate temporary files on your device, such as JSON backups, PDFs, Markdown files, text files, vCards, or pass-manifest files. These temporary files may remain on your device until deleted by you or removed by the operating system.

Meeting recordings and voice-note recordings may be written to temporary on-device folders during capture. Resulting transcripts may then be saved into your workspace content.

The current app implementation reviewed for this policy does not automatically upload those recordings to The Process-operated servers.

Data Retention

The Process retains workspace data until you delete it, remove the app, or disable relevant storage or sync mechanisms.

If you enable CloudKit sync, synced data may remain in your private iCloud account until deleted there.

Temporary export and recording files may remain on-device for a limited period until you delete them or the operating system clears them.

Your Choices and Controls

You may choose whether to grant or deny optional permissions such as Calendar, Reminders, Health, Location, Camera, Microphone, Speech Recognition, Notifications, and biometric authentication.

You may choose whether to enable or disable iCloud Sync.

You may choose whether to use paid Gemini-powered assistant features.

You may choose whether to export, share, or back up your content.

You may delete notes, meetings, tasks, people, certificates, business cards, and other workspace data from within the app.

Many permissions can also be managed through your device’s Settings app.

Security

The Process uses platform security features visible in the current app implementation, including optional biometric lock, iOS file-protection attributes for generated export files, and Firebase App Check for Firebase-backed requests.

No method of transmission, storage, or security control is guaranteed to be completely secure. You use The Process at your own risk and should use appropriate care with sensitive information.

Children’s Privacy

The Process is not directed to children under 13, and we do not knowingly collect personal information from children under 13 through The Process.

If you believe a child has provided personal information through The Process, contact us using the details above so we can review the request.

International Use

The Process may rely on Apple, Firebase, Google, and other service providers whose systems or infrastructure may operate in jurisdictions outside your place of residence. By using services that involve those providers, you understand that your information may be processed in other countries, subject to applicable law.

Changes to This Privacy Policy

We may update this Privacy Policy from time to time. If we make changes, we will update the “Last updated” date above. Your continued use of The Process after an updated Privacy Policy becomes effective constitutes acceptance of the revised policy.
